Our client is seeking a detail-oriented Administrative Assistant with strong organizational and communication skills, experienced in managing client documentation, prioritizing correspondence, and supporting fast-paced office operations. Responsibilities:
– Act as the primary client contact by coordinating appointments, managing communications, preparing meeting materials, and delivering exceptional client service.
– Support client concierge and lifestyle requests, including travel arrangements, reservations, gift procurement, and special projects.
– Coordinate client events and meetings, including logistics, RSVP tracking, catering, room setup, note-taking, and follow-up actions.
– Maintain accurate client records, process documentation, and liaise with carriers, institutions, and service providers to support account administration.
– Provide administrative support through reporting, data entry, document management, calendar coordination, and preparation of meeting packages and correspondence.
– Identify process improvements and provide general operational support to enhance team efficiency and client experience.
Qualifications:
– Post-secondary education and at least one year of administrative experience preferred.
– Strong organizational, multitasking, time-management, problem-solving, and attention-to-detail skills.
– Excellent verbal and written communication skills with a professional, client-focused approach.
– Ability to work independently, manage confidential information, and exercise sound judgment.
– Experience with client-facing activities, event coordination, concierge services, CRM systems, or client databases is an asset.
– Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, and Copilot) and comfort working in a paperless environment.
