We have a property management company in London, ON who is looking for an Office Administrator.
Technical & Operational Duties
– Manage the keyless entry system (FOBs), including creation, distribution, and maintaining supply.
– Update and maintain the entry communication panels for both buildings.
– Oversee the surveillance camera system, including weekly reboots, event footage review, saving files, and preparing USB copies when requested.
– Complete meter readings on the 1st of each month and submit to the designated contact.
– Conduct underground parking walkthroughs bi-monthly, cross-referencing registered vehicles with actual occupancy.
– Monitor for vehicles leaking oil or with flat tires weekly; direct affected vehicles to above-ground parking until repairs are complete.
– Facilitate unit entry for inspections (fire, plumbing, etc.), including posting notices 2 days(48 hours) prior, providing and retrieving master keys.
– Set elevators to service mode for moves or maintenance and return them to normal operation afterward.
Administrative & Communication Duties
– Post letters, notices, newsletters, and seasonal updates in building bulletin boards as required.
– Greet residents and visitors, maintaining a welcoming and professional atmosphere.
– Answer phones, take messages, and respond within 24 hours.
– Preparing file folders, communicating with trade personnel, obtaining unit keys, and coordinating with onsite staff via radio.

The office environment is dynamic, with fluctuating levels of foot traffic, phone calls, emails, and resident inquiries. The Office Admin must remain flexible, proactive, and composed, adapting to both busy and quiet periods. No two days are the same, and success in the role requires balancing routine tasks with unexpected needs. Must dress professionally. No ripped clothing, closed shoes required.
