Our client is seeking a detail-oriented Administrative Assistant with strong organizational and communication skills, experienced in managing client documentation, prioritizing correspondence, and supporting fast-paced office operations. Adept at delivering exceptional client service while maintaining accuracy and efficiency.

Responsibilities:
– Preparing investment paperwork, prioritizing incoming communications, drafting correspondence, monitoring/responding to emails, and liaising with clients.
– Processing, confirming and following-up on client documentation for proper maintenance of accounts in a timely manner.
– Following-up with carriers and financial institutions to ensure applications are processed quickly and accurately.
– Responding to client inquiries by phone, mail, or email in a timely and professional manner.
– Assist with client reviews, including preparing advisor-proposed recommendations, and other work that is delegated from other team members.
– Maintaining client lists and compiling statistical information and reports, including assembling data and preparing periodic and special reports, manuals, and correspondence.
Requirements:
– Post-secondary education.
– One-year administrative experience preferred.
– Great analytical and critical thinking skills.
– Excellent interpersonal, written, and verbal communication skills.
– Customer service focused.
– Self-starter and able to work independently with minimal supervision.
– Computer literacy is a must as we are a paperless office with a strong knowledge of Adobe and Microsoft Products.
